SMAD 200L - Database Exercise


You will first need to download the Database file. You will need to save it on the desktop of the computer you are working on. This file was developed in Microsoft Works. To open the file, first launch MS-Works, then from within MS-Works open the file. Once you have opened the file ... perform the following tasks and answer any questions asked of you on this sheet.

1. Enter a new field name: "editing system". Remember that you MUST be in List View (Form/List View) in order to be able to add field names and other categories.

2. Enter the following codes for each of the companies edit systems. Keep in mind what the codes mean (1=linear control track, 2=non linear, 3=non-linear and linear control track):

3. Under Form/New Form ... Create a new form that uses all of the fields (including the one you just added - Editing System) and excluding the ÒPhone NumberÓ and "DOS-Windows" fields. One selects Fields to include by first pressing the Fields ... butto n from within the New Form window. Go ahead and name the new form you are creating something like ÒMy Custom FormÓ While still in this dialog box, press the Place... button in order to place a certain field in the display of records. When you are fini shed ÒplacingÓ fields in to your report, press OK. You should be in Design View at this point (after placing your fields) Here, you may rearrange the order in which fields appear, as well as resize the typing/data area by click-and-holding then moving t he field window.

4. Enter data for two new companies to be added to the list by first choosing Form/Data View ... , then type in the data given below. If you choose Window/Show Tools ... you can use the small right arrow on the little toolbox to advance to other records .

You may have noticed that you have some data to enter and no field to enter it into!! That is ok ... just go back to List View and enter any missing data.

4. Return to List View. Under Data/New Filter, perform a Filter search (Data/Filter Search ...) that shows all companies that use Macintosh computers, that include a technician with their services, have a base rate of $200 or less, no more than a 5 hour minimum, and uses a non-linear edit system. (HINT: Do not Use OR)

Important - this step is VERY TRICKY ... you MUST get the logic of the search EXACTLY right in order for the results to show properly, meaning that the ÒandÕsÓ and ÒorÕsÓ must be correctly positioned. It is a good idea to double check the actual results to make sure they all conform to the above criteria.

5. Alphabetically sort the last names of the remaining entries by first selecting the last names column then choosing Data/Sort ...

6. In the space below, write down the Company names as they appear on your List View window.
